Photo Booth Fix: Overlay has a typo or wrong date

Updated November 2026 · 4 min read

When a photo booth overlay has a typo or the wrong date, pause printing, compare the loaded file with the version the client approved in writing, and load the approved overlay from the event folder on the device. If the typo is in the approved proof itself, only swap it at the event if a corrected file is available offline; otherwise switch to a neutral overlay until one arrives.

Speed matters because every session shared with the error carries it onto guests' phones, and prints cannot be recalled. The good news: your original captures are clean, so the online gallery can be fixed before delivery.

What guests and the attendant see

Guests, or more often the client, point out a misspelled name, last year's date, or another event's details on the screen, on prints and in shared files.

The attendant sees the overlay on every session and, too late, notices it does not match the run sheet. Sometimes only one output is wrong: the photo overlay is correct while the GIF, 360 or print layout still carries a draft.

60-second triage

  1. Pause printing. Shared files can be replaced in the gallery; prints cannot.
  2. Apologize briefly and calmly: "Thank you for catching that, I'm fixing it right now."
  3. Open the event's overlay settings and compare the file name with the approved version on the run sheet or approval email.
  4. If the approved file is on the device, load it and run a test session.

Likely causes, ranked

  1. Wrong file loaded. A draft from an earlier proof round, or a template copied from another event with its date still on it.
  2. Typo in the approved proof. Everyone signed off and nobody caught it.
  3. A late change the client asked for that never made it onto the device.
  4. One output missed. The photo overlay was updated but the GIF, 360 video or print layout was not.
  5. Date format confusion. A numeric date can read differently to different people; spelled-out months avoid it.

The full fix, step by step

  1. Identify the approved version from the client's written approval.
  2. Load it from the device's event folder for every output: photo overlay, GIF or boomerang, 360 video overlay, print layout and start screen.
  3. Run a test session for each output and read every word and the date out loud.
  4. If the approved proof has the error and you have a connection, ask the designer for a corrected file. Specs: 360 overlays at 1080 x 1920 px, PNG with transparency, sRGB, under about 2 MB, text in the top and bottom bands; 4x6 print layouts at 1200 x 1800 px at 300 dpi with a 0.125 inch safe margin.
  5. If no corrected file is available, switch to a neutral backup overlay with your logo only, and tell the client what you did and why.
  6. Resume printing with the correct file.
  7. After the event, reapply the correct overlay to the affected sessions from your clean originals before the gallery goes out within 48 hours. Many booth apps can reprocess sessions with a new overlay; otherwise apply it in editing.
  8. Talk to the client about prints that went out with the error, and log the cause in the post-event report.

Prevent it next event

  • At T-14, send a proof with a mockup for every output: photo, GIF, 360 video and print.
  • At T-7, get approval in writing. If none arrives, send a reminder that the current proof will be used unless changes come in within 72 hours.
  • Name files clearly with the client, the version and APPROVED, and delete drafts from the device's event folder.
  • Spell out the month in dates to avoid format confusion.
  • At setup, check the overlay on screen against the approval email: names, spelling and date exactly as approved.
  • Keep a neutral logo-only overlay saved offline on every device.
  • Set expectations in your contract: one proof, a set number of revision rounds, and a content deadline. See the rental contract template guide.

When to switch to a backup overlay

If the correct file is not on the device and you cannot get it within 2 minutes, switch to your neutral overlay so the booth keeps running without the error. A logo-only frame beats a misspelled name on every photo.

Swap in the corrected overlay once it arrives and passes a test session. If the client is upset or the error is significant, text the owner so they can handle the conversation and decide on any reprints or gallery fixes.

Questions operators ask

Who is responsible if the approved proof had the typo?

Under typical booth contracts, approved content is the client's responsibility, which is why written approval matters. Fixing it quickly as a courtesy is still the best move for the relationship. Confirm your own contract wording with a local attorney.

Can I fix photos that were already shared with the wrong overlay?

Files already on guests' phones cannot be changed. The online gallery, though, can be rebuilt from your clean originals with the correct overlay before delivery.

Should every device have a blank or neutral overlay?

Yes. A logo-only overlay saved offline means a typo, a missing file or a corrupted download never stops the booth.

Which outputs should I check at setup?

Every one the client will see: photo overlay, GIF or boomerang, 360 video overlay, print layout and the start screen. Read names and the date out loud against the approval email.
