Photo Booth Fix: QR code does not open the gallery

Updated November 2026 · 4 min read

When a photo booth QR code does not open the gallery, wait 30 seconds for the upload to finish, then have the guest switch their phone from venue Wi-Fi to mobile data and scan again. If it still fails on your own phone, the gallery is private, not live yet, or the code points to the wrong link.

Most booth setups show two QR codes, and they fail differently. The code on the screen after a session links to that one session, so it needs that upload to finish. The printed gallery sign links to the whole event gallery, so it needs the gallery to be public and live.

What guests and the attendant see

Guests scan and get one of four results: nothing happens, a page spins, an error or "not found" page loads, or the gallery asks for a password. Some give up and walk away without their photo.

The attendant often finds the share page loads fine on their own phone a minute later, which makes the problem feel random. It is not. Who it fails for, and when, tells you the cause.

60-second triage

  1. Wait 30 seconds and scan again. The session may still be uploading.
  2. Ask the guest to turn off Wi-Fi and use mobile data. Their phone may be stuck on a venue network with a login page or no internet.
  3. Scan it yourself on mobile data. If it opens for you, the guest's phone or connection is the issue. If not, look at the link or the gallery.
  4. Give a fallback on the spot: AirDrop or a text, plus a reminder that the gallery sign works after the event too.

Likely causes, ranked

Rank Cause Typical clue
1 Upload not finished Session QR fails right away, works a minute later
2 Guest phone has no internet Fails for some guests, works for others standing beside them
3 Gallery private or not live Password prompt, or an empty gallery, for everyone
4 Code points to the wrong link Opens an old event, a test gallery or a dead page
5 Code hard to scan Small print, glossy glare, dim light, low-contrast brand colors

The full fix, step by step

  1. Check the upload queue on the booth device. If it is stuck, the problem is your connection; fix that first using venue Wi-Fi down.
  2. Check gallery settings in your booth app or gallery dashboard. The event gallery should be public or live, matching what the client agreed.
  3. Scan the printed sign and read the link preview before opening it. Compare it with the gallery link in your event settings. A mismatch means the sign belongs to another event or an old link.
  4. If the sign is wrong, show the correct gallery QR on the sharing screen for the rest of the night and reprint before the next event.
  5. If scanning is the problem, move the sign out of glare, light it, and set it at chest height. A matte finish scans better than glossy lamination under booth lights.
  6. Retest with two phones, one iPhone and one Android, on mobile data, from a step away.

Prevent it next event

  • At T-1, put the gallery link and QR sign in the event folder and print the sign if needed.
  • At setup, scan every QR code guests will see, on mobile data, under event lighting, with two phone brands.
  • Print codes large and plain: black on white, a clear margin around the code, at least about 3 inches square on a table sign, bigger on a poster read from across a room.
  • If you reuse one framed sign, point it at a link you control and update its destination for each event, then test it every time.
  • Confirm the gallery is public or live before doors open, and that the client did not ask for a password.

When to switch to a backup sharing method

If a session QR still fails after 30 seconds and a retry on mobile data, do not hold the guest at the station. Send by text or AirDrop and move on. If the gallery sign fails for everyone, rely on session shares and tell guests the sign will work once the gallery is live.

When the upload queue is the root cause and will not clear within 2 minutes, run queued sharing and fix the connection in the background. At T+1, make sure the gallery count matches the session count, and deliver within 48 hours so every guest who scanned a dead code still gets their photos.

Questions operators ask

Do photo booth QR codes expire?

A printed code does not expire, but the page it points to can. If the gallery is taken down or set to private after your retention period, the code stops working.

Why does the QR work on my phone but not a guest's?

Usually their phone is on a venue network with no internet or a login page, or their camera is not picking up the code. Ask them to switch to mobile data and hold steady a step back from the sign.

Can I use the same gallery QR sign at every event?

Only if it points to a link you control and update each time. A code that points at one event's gallery will send next month's guests to the wrong photos.

Should the QR be on the booth screen or a printed sign?

Both. The screen code serves that session right now, and the printed sign serves the full gallery later.
